Mindify Privacy Policy

Welcome to Mindify. We built this app because we believe everyone deserves access to thoughtful, personalized guidance, whether you're navigating a difficult conversation, setting boundaries, dealing with workplace stress, or just trying to figure out your next move. Mindify is designed to be a space where you can think out loud, explore your options, and walk away with a clear plan of action.
We understand that the nature of this app means you may share personal thoughts and sensitive situations. That's exactly why privacy is foundational to how we've built Mindify, not an afterthought. We want you to feel safe using this app, knowing that your experience is yours.
This policy is written in plain language so you actually understand what's happening with your information. No legal fog, no buried clauses. If something isn't clear, reach out and we'll explain it.
Mindify is operated by Psychology Tips Daily owned by Zedvisory, a consultancy registered in the Netherlands, and is subject to European data protection standards including the General Data Protection Regulation (GDPR).
1. What We Collect
- Account information: If you choose to sign up with email, we store your email address for authentication. You can also use the app without an account.
- Device information: If you enable notifications, we store a device token and your timezone so we can reach you at the right time.
- Analytics: We collect anonymized, non-identifiable usage events (such as app opens and feature interactions) to understand how people use the app and where we can improve.
- Service data and AI conversations: When you use the AI coaching feature, your inputs (chat messages, saved memory, and personal context you choose to share with the coach) are processed in real time to deliver personalized responses. These conversations are transmitted to a third-party AI provider (Anthropic, PBC) for processing. See Section 3 for full details. We retain only the minimum technical data necessary to maintain continuity and quality of the service across sessions.
2. How We Use Your Information
- To deliver and personalize the core coaching experience
- To send notifications and reminders you've opted into
- To improve the app based on anonymized usage patterns
We do not use your information for advertising, profiling, or any purpose unrelated to delivering the service.
3. AI Processing and Data Shared with Anthropic
Who processes your data: Mindify uses Anthropic, PBC ("Anthropic"), the company behind the Claude language model, to generate the AI coaching responses you see in the app. Anthropic acts strictly as a data processor on our behalf. Mindify remains the data controller and determines the purposes and means of all processing.
Your explicit in-app consent is required: Before you can send your first message to the AI coach, the app displays a separate in-app consent screen that identifies Anthropic by name, lists the data that will be transmitted, and asks for your explicit permission. You cannot use the AI coaching feature unless you tap "Agree and continue" on that screen. This in-app consent step is in addition to, and required by, your acceptance of this Privacy Policy.
What data is sent to Anthropic:
- The chat messages you send during a session
- Relevant context from your prior sessions, including saved memory, personal details you have shared with the coach, and conversation history needed to maintain continuity
- System metadata required for the AI to function, such as session timestamps and your timezone
This data is transmitted to Anthropic's servers solely to generate the AI response in real time. Nothing else.
How your data is protected at Anthropic:
- Anthropic does not use your inputs to train their models
- No human at Mindify or Anthropic reviews your conversations
- Anthropic may temporarily retain conversation data for up to 30 days solely for safety and abuse-prevention purposes, after which it is automatically deleted
- Anthropic is contractually bound to provide a level of data protection equal to what is described in this Privacy Policy and required by applicable law, including the GDPR

How to withdraw your consent: You can withdraw your consent to AI processing at any time by deleting your account from the Settings screen. Deleting your account permanently removes all associated data from our systems and stops any further data transmission to Anthropic. Any data still held by Anthropic within their 30-day safety retention window will be deleted automatically by Anthropic at the end of that window. You may also contact us directly to request immediate deletion at the email below.
4. Third-Party Services
We rely on a small number of trusted providers to operate the app. Each is contractually bound to provide a level of data protection equal to what is described in this Privacy Policy and required by applicable law:
- Google Firebase: infrastructure, authentication, push notification delivery, and anonymized analytics
- Anthropic: AI processing of your conversations (see Section 3)
- Brevo: email delivery for opted-in notifications and account-related messages only
- Stripe and RevenueCat: processing of subscription and one-time purchase payments. We never see or store your full card details.
None of these providers are permitted to use your data for advertising, profiling, or any purpose other than delivering the service to you on our behalf.
5. Data Security
All data is stored on encrypted cloud infrastructure. Access is strictly limited. We do not sell, rent, or share your personal information with advertisers, data brokers, or any third party for commercial purposes.
6. Data Retention and Deletion
Your data is retained only while your account is active and as needed to provide the service. You can request complete deletion of your data at any time by deleting your account from within the app's Settings screen, or by contacting us. Upon deletion:
- All associated information is permanently removed from our systems (Firebase)
- Email records are removed from Brevo
- Any data still held by Anthropic within their 30-day safety retention window is automatically deleted by Anthropic at the end of that window. No further data is transmitted to Anthropic.
7. For Users in the European Union (GDPR)
Mindify is fully subject to the General Data Protection Regulation. Our lawful basis for processing your data is your explicit consent (which you provide before sending your first message to the AI coach via the in-app consent screen, and again when you opt into notifications) and, where applicable, legitimate interest in delivering the service you've requested. You have the right to access, correct, delete, or export your personal data, withdraw consent at any time, and lodge a complaint with your local data protection authority.
8. For Users in the United States
If you are a resident of California, you have rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, request its deletion, and opt out of the sale of personal information. We do not sell your personal information. If you are a resident of other U.S. states with consumer privacy laws (including Virginia, Colorado, Connecticut, and others), you may have similar rights under your state's legislation. 9. Age Requirement
Mindify is designed for users aged 16 and older.
10. Updates
We may revise this policy from time to time. If we make meaningful changes, we'll let you know through the app.
